How to make a PDF editable

There is no single button that turns any PDF into an editable PDF. There are three routes, and the right one depends on what you want to change and what kind of file you have.

Searches for an editable PDF converter usually mean one of three things: change the words in a document, get text out of a scan, or write on a form. These are different jobs, and a tool that claims to do all of them with one click is usually doing the first one badly. Here is what each route really gives you.

One thing first, so you do not waste time. DocPro does not have an editor that changes the existing text of a PDF in place. You cannot click into a paragraph of a finished PDF, retype a word and save. A PDF stores each line at fixed positions, with no paragraphs to reflow, so in-place editing is hard to do well and easy to break. What DocPro offers instead are routes that work reliably.

Route 1: change the text by converting to Word

If your PDF contains real text, which you can test by selecting a word with the mouse, the most dependable way to edit it is to turn it into a Word file, edit that and save it as a PDF again.

  1. Open PDF to Word and choose the PDF.
  2. Start the conversion and download the .docx file.
  3. Edit it in Word, Google Docs or any word processor.
  4. Save or export the result as a PDF. Word to PDF can do this for a .docx file, with a basic layout.

This works best for letters, contracts and reports with simple paragraphs. Columns, tables and designed layouts usually need tidying after the conversion, and the final PDF will not be a pixel copy of the original. The guide on PDF to Word and what to expect explains what to check.

Route 2: scans and photos need OCR first

A scanned PDF, or a JPG of a document, is only a picture. There are no letters inside it, so a converter has nothing to turn into editable text. This is also why a JPG to editable PDF conversion cannot work directly: the picture has to be read first.

OCR (optical character recognition) reads the letters from the image. With Extract text you get the words as plain text, which you can paste into Word or Google Docs and format yourself. This is the route to use when you want to change the content of a scan. It handles a PDF or an image file, and the first run loads the recognition engine onto your device.

If you do not want to change the words but want the scan to be searchable and copyable, OCR to PDF adds an invisible text layer behind the original page. The page looks the same, so it is not an editing tool, but it is often what people actually need. See how to make a scanned PDF searchable. OCR is never perfect, so proofread names, numbers and dates.

Route 3: write on top without changing the original

Often the goal is not to rewrite the document but to add to it: fill in a form, add a date, tick a box, highlight a line. For that you do not need the text to be editable at all.

Which route should you pick?

Your file stays on your device

All of these tools run in your browser. The PDF is read on your own device and is not uploaded to a server, which matters for contracts, forms and anything with personal details. They are free and need no account, apart from a few tools in the app that are marked as Pro.

If a website promises to edit any PDF perfectly, read the small print. Converting or recognising text always involves some guessing, so check the result against the original before you send it.

Frequently asked questions

Can I edit the text of a PDF directly in DocPro?

No. DocPro does not change existing PDF text in place. Convert the PDF to Word, edit it there and save it as a PDF again, or write on top of the page with Annotate PDF.

How do I convert a JPG to an editable PDF?

A JPG is a picture, so it needs OCR. Run Extract text on the image, paste the text into Word and edit it. For a PDF that only needs to be searchable, use OCR to PDF.

Is the converted file identical to the original?

Not always. Converting rebuilds paragraphs from positioned text, so complex layouts, columns and tables may change. Compare it with the PDF before you send it.
